The team behind EthCC, Europe’s largest Ethereum conference, ran its events on contacts scattered across 3 websites, an in-house speaker system, and third-party ticketing and payments. We built one source of truth and connected every data source to it.
Ethereum France is a key player in the French-speaking blockchain ecosystem, and its events run at conference scale: speakers, sponsors, attendees, volunteers, students, and press, edition after edition.
At the time of the project, the data behind all of that lived in 8+ data silos: 3 websites (ethereum-france.com, ethcc.io, ethccweek.fr), an in-house applicant tracking system called SPQR fed by Typeform applications, ticketing that had already run through 3 platforms (Weezevent, Unlock, Bizzabo), and payments split across Stripe, on-chain crypto transfers, and manual wires.
None of these systems were connected, and the team itself coordinated across Discord, Telegram, WhatsApp, Slack, Notion, and Google Workspace. Keeping records current meant manual exports and imports, and most contact handling was done by hand.
With contacts scattered across platforms, there was no unified way to track interactions and communications. Manual data handling multiplied errors, and records went out of date between one export and the next.
The gaps sat exactly where the events run: the sponsor database lived in shared Excel files, where a single manual slip could quietly disrupt the whole database, and renewal outreach to past sponsors had no automation behind it; speakers could not be segmented by application status or sent their slot as a calendar invitation; and attendees could not be segmented by ticket type, so pre-event information could not be tailored by role.
And each edition restarted from scratch: no re-engagement of past attendees, speakers, and sponsors, and with ticketing having moved across 3 platforms over the years, every switch left another silo behind.
Engagement tracking was so limited that sponsor return on investment and attendee satisfaction could not be assessed with confidence.
A vendor-neutral software selection landed on Attio as the CRM core, with Zapier as the integration platform and Mailjet for email marketing.
After selection came the strategy phase: conceptualizing the CRM architecture, objects and attributes, around how the events actually run before configuring anything. 13,000+ people and 4,500+ companies became the main objects, with a permanent object for Ethereum France members and edition-based objects for speakers, tickets, speaker applications, students, and volunteers. Only then were 28,000+ records from 8+ data silos migrated in.
We then built the bridges between every data entry point and the CRM: Zapier where it fit, custom API work where it did not. Websites, ticketing, payments, and marketing tools now sync automatically.
The team was onboarded against a knowledge base built for the long term, and the system went live.
The events now run on a single source of truth: one CRM with every data source connected to it, websites, ticketing, payments, and marketing tools feeding it automatically. Every contact is a click away, interactions and event performance are tracked in real time, and the manual import-export routine is gone.
And the architecture scales: because the objects and attributes map to how the events run, each new edition slots into the same structure, its speakers, tickets, and volunteers landing connected instead of scattered.
